Award Management Account Types: 3-Minute Easy Guide

You’ll create an Auditor account type from scratch, set its permissions, design its registration form, then create a Public Voter type to see how one setting controls who can sign up.

Start with pre-configured award management account types

Click the menu icon in the top left corner and select Account Type. You’ll see a list of account types that AI has already pre-configured for you, such as Program Manager and Independent Judge.

Most programmes start from these and only add new ones when a role genuinely needs different access.

Create a new account type

Click Create in the top right corner, then fill in the basic information on the left. The video builds an Auditor role:

1. Set the visibility, then give the account type a name.
2. Add a short description explaining what the role does.
3. Choose the verification type, so users log in by email or SMS.
4. Turn on two-factor authentication if the role needs extra security.
5. Require terms and conditions, and add the terms title and content, if the role must agree before access.
6. Turn on Hide in Public Registration if people should not be able to sign up as this role themselves.

Set user groups and permissions

On the right, choose the user group for the account type. Select an existing group and scroll down to see the full permission matrix, where you decide what the group can read, create, update or delete in each module.

If no existing group fits, click Create New Group, name it, tick the specific permissions you want to assign, and click Next.

Design the registration form

The user interface page is where you design what the registration form looks like for this account type. Add fields from the left, such as first name, last name, organisation, email and phone number. When the layout is right, hit Save, then Publish.

Test the new account type

Back in the account type list, Auditor is ready to use. To test it, go to Contacts, click Create, and select the account type. Auditor now appears in the drop-down. Fill in the details, click Next, and the account is created.

Public versus hidden award management account types

The video then creates a Public Voter account type the same way, but leaves Hide in Public Registration unchecked. The difference shows up straight away on the public registration page:

• Public Voter appears in the drop-down, so anyone can register to vote.
• Auditor is hidden, so only an administrator can create those accounts.

One setting decides who can register and who can’t, and no code is involved.

Why the right access matters

Account types follow the principle of role-based access control: people get access through their role, not one permission at a time. That keeps judges out of administration, keeps applicants out of scoring, and makes every change easy to review.
