The Program Manager Experience

The platform that works as hard as you do.

Program managers are asked to do the impossible: run a world-class awards experience for applicants, judges, and sponsors — while also being the IT team, the communications team, the reporting team, and the first line of support. AwardScience is designed to give you your time back, your weekends back, and a program you’re genuinely proud of.

01 · Designing the programme

Visual Workflow Builder, Now with AI

Design your entire award program as a flow you can actually see. Drag in stages, branches, conditions, and automated actions on a node-based visual canvas. See exactly how an application moves from intake to winner announcement before a single applicant touches it. Save as a draft while you refine, share with colleagues for feedback, and hit Publish only when everything is exactly right. Change the workflow mid-program without losing any existing data. AwardScience keeps everything in sync.

A workflow canvas of linked stage nodes, with one node open showing its stage, responsible parties, user interface, read access and buttons, and a side panel for the stage's title and description.

You no longer have to draw it yourself to begin with. Describe the process you need in plain words and the AI assistant builds the flow, the forms and the page that goes with it. It asks what it needs before it starts, shows you exactly what it will create, and lists anything it couldn’t apply instead of failing silently. Approval stages can route to each submitter’s own line manager, taken straight from your org chart.

No-Code Form Builder (30+ field types)

Build rich, professional application forms by dragging in the fields you need: short text, long essays, file uploads, image uploads, date pickers, dropdowns, multi-select, quizzes, voting, QR codes, charts, AI-powered fields, and more. Add conditional logic so the form only shows a field when it’s relevant (“show budget breakdown only if funding requested exceeds $10,000”). Preview the live applicant experience before publishing.

Newer field types cover the parts that used to need a separate tool. Add signature boxes assigned by role so agreements are signed inside the application. Mask sensitive answers such as bank or ID numbers, so they stay encrypted and appear only as a masked value in lists, exports, emails and AI prompts. Choose which file types each upload question accepts. And translate every label into all your languages at once with Apply to all languages.

Deadline Scheduler

Set open and close windows for every stage of your program, and AwardScience enforces them automatically. Forms lock the moment a deadline passes, reminders go out before they arrive, and late submissions are handled according to your rules without manual intervention. Plan your entire program calendar in one view, share it with your team, and never scramble to manually close a form at 11:59pm again.

Preview Before You Launch

Walk through registration and the whole application as a test user in any role, and see exactly what your applicants will see — side by side with the settings that produced it. Nothing real is sent and nothing is charged: no verification emails go out, no payment is taken, no notification reaches a judge. Clear the test applications and run it again as often as you like, until the experience is the one you meant to build.

02 · Reaching applicants and judges

Email, SMS, WhatsApp & Push Campaigns

Design message templates in a drag-and-drop editor, with merge fields that pull each recipient’s own details, dates and links straight out of your program data. Write once, and the same template serves everyone on your applicant or judge list.

An email template being edited, with merge fields for the recipient's email, the application page link and the round's opening and closing dates placed inline in the text.

Then reach people on the channel they actually read. Pick a primary channel and a fallback for each message: email, SMS, WhatsApp or mobile push. Before you commit, a pre-send check shows exactly who will receive it and who won’t, and what the SMS will cost. Failed messages are retried and then switched to another channel automatically, every recipient’s delivery status is tracked, and a WhatsApp bot answers common questions out of hours.

A broadcast confirmation dialogue for an SMS send, showing how the selected audience reduces to final recipients after missing numbers, duplicates and opt-outs.

AI Professional Finder & Automatic Invitations

Building an expert judging panel used to mean weeks of LinkedIn searches, cold emails, and chasing replies. Not anymore. Describe the expertise you need in plain language, “a fintech CFO with experience in emerging markets”, and AwardScience’s AI searches its database of professionals, scores each match from 0 to 100, and presents ranked candidates complete with their background, industries, and past award involvement. Select the ones you want, and AwardScience auto-drafts personalised invitation emails with unique signup links for each one.

From there, staffing a stage runs itself. Set the criteria once — how many reviewers each stage needs and how long they have to answer — and AwardScience keeps inviting people from the matching pool until the stage is full. Expired and declined invitations move on to the next match automatically, the full invitation history is kept round by round, and you’re alerted when a stage is still short.

Branding & Public Pages

Make the entire applicant-facing experience feel like it belongs to your organisation, not a third-party platform. Serve the portal from a domain you own, such as awards.yourcompany.com, and send email from your own authenticated sending domain on the Pro plan. Upload your logo and favicon, set background images, and configure multi-language Terms and Disclaimers for international programs.

A custom domain settings card with a domain awaiting DNS verification, the nameserver records to copy, a Check now button and an optional CNAME step.

Build public landing pages that showcase your program, explain the criteria, and drive applications — all without touching a line of code. Host images and video at permanent links in the asset library, embed an application form directly on any website you already run, and list your programmes in the public award directory to reach applicants who have never heard of you. Sponsors and partners see your brand at every touchpoint, not AwardScience’s.

03 · Running the cycle

Seasons & Award Cycles

Keep every cycle of your program clean, separate, and easy to navigate. Create a season for each cohort — “2025 Spring Fellowship”, “2026 Annual Innovation Award” — set its date range, and designate a default for new applications. Every form, workflow, report, and entry is tagged to its season, so filtering your data is instant and nothing from last year bleeds into this year’s view. Run multiple active seasons simultaneously without any risk of cross-contamination.

A list of seasons with their start and end dates, active status and submission counts, one of them marked as the default for new applications.

Starting a new cycle no longer means rebuilding it. Copy last season in one step and every flow, form, page and message template comes with it, re-linked to the new season rather than pointing back at the old one. A copy summary lists exactly what was duplicated, and flags anything that still points at another season, so nothing goes live with a stale link.

People & Team Management

Bring years of records in from a spreadsheet in one pass. Map your columns to AwardScience fields, see which person each row belongs to before anything is written, and get a plain-language explanation for every row that can’t be imported, with a corrected file to re-upload. Build organisation charts, group users by team or region, and manage relationships between accounts.

The third step of a data import, showing rows pushed and rows failed, the status of each row including one invalid email, and options to upload a corrected file.

New users get a secure password automatically, set by them and never by you. And where authorised, support staff can use Assist mode to work inside someone’s account and sort out a problem without asking them to screen-share — with every action recorded as assisted, and sensitive changes blocked outright.

Granular Permissions

Control exactly who can do what at every level of your program — not just “admin” or “viewer” but precise, rule-based access specific to your organization. Scope permissions by account type, process, stage, field values, or any combination of the above, connected with AND/OR logic. A regional judge sees only the entries from their region. A sponsor sees only the shortlist in their category. A guest reviewer sees one specific form and nothing else.

A stage in the flow editor with separate dropdowns for who can act on it and who can read it, beside a panel adding a special condition and value to narrow that access further.

Each account type carries its own rules too: whether it is visible in public registration, how it verifies people, and whether two-factor authentication and terms acceptance are required.

Two published account types, Judge and Program Manager, each showing its visibility, verification type, two-factor authentication and terms requirements.

You can now decide who gets in at all. Send people who register as a given account type through an approval flow of your choosing, and until they are approved they see only their To-Do list rather than a working account. Reserved account types such as Admin can never be handed out by accident, through registration, import or the API.

An account type set to require approval, attaching a vetting flow to new registrations, with a warning about existing accounts and the approve, reject and pending actions.

Batch Submit

Push a whole set of applications through a stage at once. Tick the entries you want in the list and submit them together with one click — useful when your team enters applications on behalf of nominees, or when a batch has been corrected offline and needs moving on. AwardScience shows how many are selected before you commit, and each application keeps its own reference number and status afterwards, so nothing gets merged or lost in the batch.

A To Do List of applications with reference numbers, stages and status badges, two rows ticked, and a Batch Submit confirmation dialogue covering both.

04 · Measuring and reporting

Analytics Dashboard (20+ charts)

Track your program in real time with over 20 built-in charts covering entries received, submission velocity, conversion funnels, geographic distribution of applicants, and judging progress by round and category. Not seeing the metric you need? Build your own with a no-code chart builder — choose your data source, pick your chart type, and add it to your dashboard in minutes.

The builder now goes further than bars and lines. Follow applicants from first entry to award in a funnel chart, or compare two measures in a scatter. Build calculated measures such as approval rate from a formula, combine data from different forms into one field, put a second measure on its own Y axis, split any chart by status with colour-by, and check the raw rows behind any point before you quote a number to a board.

AI Insights on Your Data

Stop exporting to spreadsheets and spending hours looking for patterns. Ask AwardScience plain-language questions about your applicant pool and get streaming AI analysis back in seconds. AwardScience reads your data, surfaces the insight, and lets you act on it without a data analyst in the room.

You can also go the other way and ask for the chart itself. Describe the chart you want in plain words and the assistant builds it from your own data catalogue, asking before it spends extra credit repairing one that won’t build. Or press Analyse with AI on any dashboard and get a written insight across every chart on the page — in the browser and in the mobile app.

Reports & Exports

Generate filtered, formatted application and engagement reports on demand. Schedule reports to be delivered automatically as Excel exports straight to your inbox at the frequency you choose — daily during judging, weekly during the open window, monthly for board updates. No more manual exports. Your stakeholders always have the data they need, when they need it.

05 · Payments and integrations

Cash Ledger

Track grant payments and application fees for every application in one place, from initiated through authorised to settled. See money in and out by category or by month, change statuses in bulk when a batch clears, and open any transaction for its full history. Payments are recorded automatically by your flows rather than keyed in afterwards, and duplicate payments are blocked before they happen.

Your Own WhatsApp Number

Connect your organisation’s own WhatsApp Business number in minutes. Sign up through Meta from inside AwardScience, without raising a support ticket or waiting on an integration project. Once it’s live you can message applicants and run WhatsApp application forms from your own number, so the message comes from your organisation rather than a shared sender. Available on the Pro plan.

Connect Your Other Systems

AwardScience doesn’t have to be an island. Send data to your CRM, ERP or data warehouse the moment an application reaches a stage, using webhooks or an outbound HTTP action in your flow, with automatic retries and a delivery log of every call and its response. Store API tokens as encrypted secrets that can never be read back once saved, and give your developers personal or service API keys so the integration belongs to your team, not to a consultant.
